Online appointment booking: a guide for practices, clinics and salons

A phone ringing while you’re with a patient or client, forgotten appointments and a paper diary only one person understands. Online booking solves all three — if it’s introduced carefully.

For medical, dental and physiotherapy practices, beauty salons and other service businesses, the appointment is the basic unit of work. Every missed call and every no-show is lost income. Online booking lets clients pick a free slot themselves at any time of day, and lets you spend less time on the phone.

Short answer

For most small practices and salons, a ready-made booking service connected to the website is enough. A custom system makes sense when you have several practitioners or rooms, special rules for service durations, or need to connect to existing software. Either way, reminders, easy cancellation and data protection are key.

What good online booking must have

  • Real availability — one calendar into which both online and phone bookings go.
  • Duration per service — a 20-minute check-up and a one-hour procedure don’t take the same time.
  • Choice of person or room when several people work.
  • Automatic confirmation and reminder by email or SMS.
  • Cancel and reschedule with one click from the reminder.
  • Rules — how far ahead people can book, the latest cancellation time, breaks between appointments.
  • Mobile-friendly in three or four steps.

With a ready-made service, check that it supports your language, SMS reminders in your country and where it stores data. With a custom system, make sure the code and data are yours.

How to reduce no-shows

  1. A reminder the day before, with a cancellation link — the freed slot can be offered to someone else.
  2. Clear cancellation rules, visible when booking.
  3. A waiting list for popular slots, with an automatic message when a slot opens up.
  4. For more expensive services, a deposit or card payment at booking.

Data protection

For practices and clinics, patient data — even the fact that someone has an appointment with a particular specialist — deserves special care. Bosnia and Herzegovina’s new data protection law, like the GDPR, treats health data as a special category. In practice that means:

  • the form asks only for name, contact details and type of service, without describing symptoms;
  • reminders must not reveal diagnoses or sensitive details;
  • only the people who need it have access to the calendar, with personal accounts and two-factor login;
  • data processing with the service provider is covered by an agreement, and you know where the data is stored.

Common mistakes when introducing it

  • Two calendars — online and paper — that don’t match.
  • Too many form fields, so clients give up before the end.
  • The booking button hidden on a subpage instead of visible on every page.
  • No staff training, so only one person uses the system.

FAQ

Frequently asked questions

Do older patients use online booking?

Some do, some don’t. That’s why online booking should be an extra option, not a replacement for the phone. Staff should also enter phone bookings into the same calendar so the system always shows the real situation.

How far in advance should reminders be sent?

Most often the day before the appointment, and a few days earlier for longer or more expensive services. A reminder should include a link to cancel or reschedule — so the freed slot can be given to someone else.

Can the booking form ask for health information?

Ask only for what the appointment strictly requires. Health data is a special category of personal data and needs stronger protection. A detailed medical history is better taken at the practice or through a secure system, not through an ordinary form sent by email.
